Privacy Policy

What we collect, where it lives, who sees it.

Last updated 2026-10-07.

Who we are

Answered Work and answered.work are run by Answered Work LLC, a Florida limited liability company (“we”). This policy covers the website, the intake form, the fit check, the demo portal, the client portals, and our calls and texts.

What we collect

What you put in the intake form (name, email, optional company and mobile number, what you’d like help with, and the other optional questions), and what you share in your private client portal once an engagement starts: answers, chat messages, uploaded files, and requests. To report on the work we run for you, the portal also keeps status records about your systems and automations.

The fit check at answered.work/fit works out its answer in your browser, and nothing you pick reaches us unless you send it, or tick the box to add your answers when you sign up. If you do, we keep your answers and the answer we showed you with the details you give there: name, email, and optionally your business name and a note, or your account’s details when you sign up.

If you tick a box agreeing to calls or texts, we also keep a record of that consent: the exact words you agreed to, when, and the IP address and browser it came from.

If you connect business accounts such as Google, Microsoft, QuickBooks, HubSpot or Square, we store the access they grant, encrypted, and read only what your work needs. You can disconnect at any time, which ends our access.

We don’t use advertising cookies. We count visits to this site ourselves, with one cookie of our own, and Google Analytics counts them too, with cookies of its own. Both are described under Visits to this site. The demo portal sets one more, described under The demo. Your browser’s localStorage holds a few small items: an unsent intake draft, your portal’s light or dark setting, and a chat conversation id (plus a sign-in token on our own admin dashboard). Fit check answers you haven’t sent stay in that browser tab until you close it. They stay on your device unless you tick the box to add them when you sign up.

The demo

The demo portal at answered.work/demo runs on a made-up business. We save what you do there so we can see what people want and make the demo and our service better: the questions you type or tap, the answers you got, which tabs you opened, whether you watched the intro and whether you reached the contact form. A cookie holds a random id so one visit’s questions stay together and the demo’s usage limits work. We don’t keep your IP address with it.

Until you fill in the demo’s contact form, that record isn’t tied to your name. If you do, it’s linked to the details you send, like any intake, and we use the questions you typed to write your setup questions. Demo records are deleted after 6 months. Don’t type anything private there: it’s a sample, and your questions go to Anthropic to answer them.

The contact form also sets up your account, and asks you to agree to our Terms and this policy. We keep when you agreed and which version.

Visits to this site

To see which pages help people and where they lose interest, we count visits on our own server. A cookie holds a random id for your browser for up to 6 months. For each page you open on the public site we save which page and when, whether you’re on a phone, tablet or computer and, for your first visit, where you came from: the site that linked to us, such as a search engine, and any campaign tag in the link. We don’t keep your IP address with it, and it isn’t sent to anyone else.

Until you give us your email, through the call form, the fit check, the sign-up or the demo, that record isn’t tied to your name. If you do, we link the pages you opened to your details, so we can see where you stopped. If you agreed to occasional updates when you signed up or took the fit check, we may email you to pick up where you left off, and every one of those emails has an unsubscribe link. Visit records are deleted after 6 months.

We also use Google Analytics to see how the site is used overall: which pages are opened, where visits come from, the kind of device and rough location, and steps like asking the demo a question, finishing the fit check and which answer it gave, signing up or booking a call, never what you typed. It sets its own cookies, whose names start with _ga, for up to 2 years. It gets each page’s address without anything after the “?” except campaign tags, never your name or email, and nothing from the pages behind sign-in links, the client portal or admin. Its advertising features are off, and Google doesn’t keep IP addresses for it. Google’s own policy covers the rest: policies.google.com/privacy

If your browser sends Global Privacy Control or Do Not Track, we don’t set our cookie or count your visits, and Google Analytics doesn’t load.

Where it lives

Intake submissions and portal data live in a database on our own machine. The site you’re reading is served from that same machine via an encrypted Cloudflare Tunnel.

The database is backed up hourly to Microsoft OneDrive, with a 7-day retention window. Older backups are auto-deleted.

Who else sees it

Only the Answered Work engineer on your account reads your project context. We don’t sell your data, and no one trains AI models on it.

We use these service providers to run Answered Work. Each one gets only what it needs for its job:

  • Anthropic (Claude API) powers the portal’s AI assistant and drafting. Your messages and the project records the assistant needs are sent to it to produce each answer. It also answers questions typed in the demo portal, and reads emails to [email protected] that look like meeting requests, so we can book the meeting or offer open times. Under Anthropic’s commercial terms, it doesn’t train models on this data. anthropic.com/legal/privacy
  • TypeSafe (Jev) gives each portal chat message a quick second reading, so an urgent problem doesn’t get missed. It receives the message and the assistant’s previous reply, with emails, phone numbers, links, long numbers and your name removed first. It never answers you or changes anything. typesafe.ai
  • OpenAI transcribes audio files you upload, and only those. openai.com/policies/privacy-policy
  • Resend sends our emails, such as your intake acknowledgement. resend.com/legal/privacy-policy
  • Cloudflare carries all traffic to and from the site (DNS, HTTPS, the Tunnel), so what you send and see here passes through its network on the way, along with your IP address. cloudflare.com/privacypolicy
  • Google (Google Workspace) runs our email, calendar and video calls, so emails you send us, meeting invites and calls with us pass through it. It also counts visits to the public site (Google Analytics), as described under Visits to this site. policies.google.com/privacy
  • Krisp takes notes on our video calls, only when everyone on the call has agreed to it. krisp.ai
  • Microsoft stores the hourly database backups on OneDrive. privacy.microsoft.com

If we add a provider that handles your project data, we’ll list it here and flag it in active engagements. Before we send our first call or text, we’ll add the phone and text provider that carries them.

Texts and calls

We use your mobile number only for what you agreed to on our form: calls and texts about your inquiry and account and, if you ticked the second box, marketing messages. Reply STOP to any text to stop, or email us. Our Terms have the details.

We don’t sell, rent or share your mobile number or your consent to receive texts with anyone for their marketing or promotional purposes, including affiliates. Text-message opt-in data and consent are never shared with third parties, except the provider that delivers our own messages.

Data we handle for our clients

When we run tools for a client, such as sending their emails, calls or texts, we handle their customers’ information on the client’s behalf and only for that client. If you were contacted by one of our clients, that business decides how your information is used. Contact them first; we’ll help them answer you.

Signing in

Before you’re a client, your account holds your time-back plan and your setup: the answers you give to a few questions about your business and the tools you tick. We keep them with your intake, and they move into your client portal if we start working together. Ticking a tool doesn’t connect it or give us any access.

You sign in to your portal with a link we email you. Older private portal links still work while we switch everyone over. Anyone with one of those links can see your portal, so don’t share it, and tell us if you think it leaked so we can replace it.

Connecting your own AI

You can connect an AI assistant you use, such as Claude or ChatGPT, to your portal, or make an API key for your own scripts. Only someone who signs in with an email on your portal’s sign-in list can set one up.

A connected assistant sees what you see in your portal: updates, requests, messages with your engineer, open questions and the business records your portal reports on. If you allow it, it can also send requests, messages and answers to your engineer for you. It can’t reach anything else we hold, such as other clients’ data, the access your connected business accounts grant, or your call and text consent records.

What the assistant reads goes to the company that runs it (for example Anthropic or OpenAI) and is handled under your own agreement with that company, not ours. Pick an assistant and plan whose data terms you’re comfortable with.

We keep a record of what each connection did (when, which action, and whether it worked) for 6 months, so you and your engineer can check it. Keys and sign-in tokens are stored only as one-way fingerprints. You can disconnect an assistant or delete a key in your portal’s Settings at any time, and it stops working right away.

Retention

Active engagement data stays on file for the duration of the engagement. After it ends, we keep your project data for up to 12 months in case you need it again, then delete it. If you agreed to calls or texts, we keep the record of that consent for as long as we may need to show it, even after the rest is deleted. You can ask for deletion at any point.
